Data retention

01 · Principles

We keep data only as long as it serves you (relationship memory is a product feature) or as long as the law requires (billing/audit records). Each customer’s data is isolated; deletion of one account never touches another.

02 · Retention by category

• Account & profile — kept while your account is active; deleted on account deletion.
• Leads, conversations & relationship memory — retention period varies by plan: Free plan: 3 months; Starter: 12 months; Pro and Business Scale: unlimited while account is active. Deleted with the account or on a per-lead erasure request.
• Knowledge documents & embeddings — kept until you delete the document or close the account; embeddings are removed with their source document.
• Usage counters & notification logs — kept up to 24 months for billing accuracy and abuse prevention.
• Billing & invoices — kept as required by applicable tax law, up to 8 years from the end of the relevant financial year (as required under Indian GST and Income Tax law), even after account deletion.
• Security & audit logs — kept up to 12 months.
• OTP records — verification codes expire within minutes; attempt logs kept up to 90 days for fraud prevention.

Some data may be anonymized rather than deleted where it forms part of aggregate analytics that cannot identify individuals. Anonymized aggregate data is not subject to deletion requests.

Third-party processors: Our service providers (including Supabase, PostHog, Twilio, SendGrid, and Razorpay) maintain their own data retention schedules, which apply to data they independently hold. We select processors who operate retention policies consistent with applicable law.

03 · Deletion requests

You can request export or deletion of your account data at any time. Leads may also request erasure of their personal data. To submit a request, email Support@leed-ai.com with your account email and the nature of your request.

Response times: We will acknowledge your request within 5 business days and complete the deletion or export within 30 days. For complex or high-volume requests we may extend by a further 30 days with prior notification.

Records we are required to retain by law (billing, tax, fraud-prevention audit trails) are excluded from deletion requests and kept under strict access controls.

Note on backup restoration: Encrypted database backups are retained for up to 30 days. If a backup is restored within that window, we will re-apply any pending deletions before making the restored data available.

04 · Backups

Encrypted database backups roll off automatically within 30 days. Data deleted from the live system disappears from backups on that cycle.
